cloud-based Business phone system

What is a cloud-based Business phone system?

VoIP (Voice over Internet Protocol), a system that allows you to use traditional telephone systems, but it is hosted in the cloud. VoIP technology transforms your voice into digital signals, which allows you to make calls via the internet. This means that you can spend less on hardware and maintenance.

Cloud-based phone systems offer greater flexibility as you can make and receive calls from any device, including your smartphone and computer. You can access all the office system features from wherever you are. In addition, VoIP makes it easy never to miss an important call.

Top Technical Business Phone System Terms

You'll face a mountain of jargon if you want to upgrade your communications system. Telecoms is technical and has their vocabulary. This guide might have already covered some technical terms. Let's clarify and explain as many technical terms as possible to make sure you understand where you stand.

This glossary will cover the most commonly used acronyms and phrases. It can be used to replace traditional options as well as VoIP.

bandwidth

Bandwidth

A network's ability to transmit data in a specified time frame. It is usually measured in 1000 bits per second (kbps). A network's ability to support more VoIP calls will depend on how much bandwidth is available. The quality of calls will suffer if your internet connection is not fast enough.

codecs

Codecs

Codecs may be hardware- or software-based. They are used to decompress, encode and compress data. For example, codecs convert audio voice signals into digital packets. The codecs then compress the data and re-convert it at 'other end of a call.

dsl

DSL

DSL stands to represent 'Digital Subscriber Line'. DSL is a traditional phone technology that allows a broadband connection to be carried over existing telephone lines. It allows analog phone signals to continue travelling along the same copper lines.

ip

IP

IP stands for Internet Protocol. IP is a set of standard rules that allow online data transmission and reception. These standardized rules allow devices on different platforms to communicate with each other. IP also provides basic rules to transmit data packets. It doesn't establish the connection or order packets to be transmitted. So is handled by transport protocols or transmission.

ivr

IVR

Interactive Voice Response, or IVR, is a feature in traditional telephony. This interactive service allows callers to use menus and can handle call transfers. Think of it as "press one for the accounts department", etc.

latency

Latency

Time is taken to transmit data. The delay between receiving data at one end and the transmission starting is greater with higher latency. VoIP can experience high latency. A latency of more than 150 milliseconds can cause voice delay. A conversation can be difficult if the latency is greater than 150 milliseconds.

pbx

PBX

Private Branch Exchange stands for PBX. So is the name of a private telephone network used within an organization or business. Your PBX is what allows you to press a button on your desk phone to call someone else in your office.

rtp

RTP

The Real-Time Transport Protocol. A protocol is used to transmit data packets for VoIP calls. It can also carry audio and video streams for multimedia communication. Secure Real-Time Transport Protocol (RTP) is the encrypted and secure version of RTP.

sip trunking

SIP Trucking

It is a way to transmit voice communications over the internet. It is, in many ways, an alternative for VoIP. So involves connecting a PBX with the internet. Although this gives users more control, it requires more equipment to set up than a VoIP phone system.

softphone

Softphone

Software or apps that make VoIP calls. It would be best to use your tablet or computer to make VoIP calls. The interface of most softphones is similar to a handset. It will come with a touchscreen keyboard or touch screen and a keypad.

voip

VoIP

Voice over Internet Protocol allows you to make voice calls using an internet connection. The audio is quickly repackaged into digital data and sent to its destination. So is a new standard in communications for all sizes and shapes of businesses.

voip

UDP

In computer networking, the User Datagram Protocol (UDP) is one of the core members of the Internet protocol suite. With UDP, computer applications can send messages, in this case referred to as datagrams, to other hosts on an Internet Protocol (IP) network. Prior communications are not required in order to set up communication channels or data paths.

How to Choose Business Phone System?

This is all you need to know regarding VoIP. This technological breakthrough is changing the face and future of commercial telecoms. VoIP allows firms to make and receive calls over their internet connection.

There are many benefits to being able to call that way. There are many ways businesses can reduce their costs. Initial hardware and setup costs are usually much lower. You may also find that call charges can be much lower. This is in addition to the increased accessibility and agility that a VoIP system offers.

All this may have convinced you that VoIP is the best option. Next, you'll want to know how to switch to the newer system. It's also easy to do. The first step is to reach out to a trusted provider who will guide you through the rest.

The next step is to choose between cloud-based and physical server setups. Next, you will need to decide if you want a VoIP telephone system or software-based VoIP calls from your office computers. No matter your decision, setup is faster and easier than setting up an old system.

FAQs

Answers to some of our most commonly asked questions…

  • What is the cost of Business phone system?

Thanks to the savings we make in areas such as calls, lines, mobiles and broadband, we can often fund a brand new phone system featuring industry.

  • Do I need a cloud-based VOIP service provider?

If your business is looking for VoIP services, then it is sensible to look for a reputable VoIP service provider to help you. This provider will be able to use their expertise to create a system which is perfectly suited to your needs.

  • Can I use my regular phone with VoIP?

If you wish to use your regular phone with a VoIP network, you would need a special adapter. We don’t recommend this as we find the functionality of devices such as Cisco PAP2  far outweigh that of their older counterparts.

  • What is the main use of VoIP Systems?

VoIP is used to make telephony calls using an internet connection. Previously phone calls travelled over dedicated infrastructure, but with advances in technology, it is now possible to use the internet instead, increasing the range of additional features available while at the same time lowering costs.

  • Do cordless phones work with VoIP?

Yes, there are a wide range of cordless phones which are compatible with VoIP services, such as those from Yealink and Samsung.

  • Are VoIP Business phone systems reliable?

VoIP systems have become increasingly reliable in recent years, especially since the arrival of fibre networks. Former issues such as packet loss have now largely been eradicated in most reputable VoIP networks.

  • Can I retain my existing business phone number?

Yes, it is possible to keep your existing business phone number when you make the switch to VoIP – this process is done between phone providers, so we’ll take care of everything for you.

  • What is VoIP phone and how does it work?

A VoIP phone is just like any other traditional desk phone and will normally operate in the same way. The key difference is how your phone calls travel across the network; with VoIP this is done via an Internet connection instead of the traditional Public Switched Telephone Network (PSTN). VoIP phones will often have a greater array of functionality than their traditional counterparts.

  • Are there long distance charges for VoIP?

VoIP call charges will vary from one provider to another but long distance calls are usually far cheaper on VoIP networks than on the PSTN.

  • Who uses a VoIP phone?

VoIP Phones are now extremely common in businesses across the UK. As they often look similar to traditional phones, you may not even know a business is using a VoIP phone when you see them.

  • Do you need special phones for VoIP?

We recommend utilising the latest VoIP phones, such as HiHi2 so that you can take advantages of the latest features they offer, such as video calling and video support.

  • What are the disadvantages of VoIP?

There are very few disadvantages to VoIP, but call quality and reliability can be an issue with less reputable providers. It’s best to go with an established VoIP provider with a track record of good reliability.

  • How is the quality of VoIP calls?

The quality of a VoIP call is the same, if not better, than that through traditional phone lines. VoIP simply requires a reliable internet connection to maintain call quality, which is something that will be assessed by our 4Com experts if you choose to have the system fitted.

  • What is SIP Trunking?

SIP stands for ‘session initiation protocol’, and SIP trunking is essentially the protocol which allows telephone systems to communicate within a network via an internet connection, rather than traditional phone lines. SIP allows VoIP calls to commence within businesses, as it begins the process which allows voice and other data to be transmitted between devices.
